Scenario Eight: A student has transferred into your system from another district with an IEP. Initial eligibility was already completed in another GA district and the system has a copy of that, but the system never receives the Reevaluation Eligibility and the IEP reported that one had been completed after the Initial eligibility.


Since this student DOES have prior Student Record History and/ or events that are available within GO-IEP, that history will show at the top of the Override.

Column 1 tells the name of the district reporting this event. This information will help you obtain any missing paperwork. The last column will tell you if that event shows within GOIEP as either a mock eligibility or IEP, or one fully created inside GO.


Two options are available at this point.  

  1. Option 1 allows the user to inactivate the case.
  2. Option 2 will allow the entry of events that either occurred in Georgia and were never reported to SR OR events that occurred in another state and need to be reported.

After choosing the option that the student has prior events (option 2), you will then be able to update, correct or validate events.

 1. After choosing option 2, the next section will appear.  

  1. Answer the question about the school the student last attended. By default, your system is selected and can be edited. In the scenario, the previous history dates will be prepopulated.
  1. The override timeline screen will now allow you to enter or verify events 01- 08. Make sure you have documentation and consult that documentation when adding or changing event dates. Refer to the Student Record Event Chart located in the IEP Reports- Student Records Extract section for descriptions of the events.
    1. The “edit” area for events 01-03 will allow you to enter the new date with an override reason (if initial eligibility has not yet occurred, do not report the 02 or 03 event.) Events 01-04 are one-time events that should only be edited if the originally reported event was reported incorrectly OR an exit event occurred.  
    2. If appropriate, the date and reason for making the change for events 01, 02, and 03 should be entered.



For the current scenario, the 01-03 events are still current, so we would not edit these events.

  1. Events 04 and 08 are edited through the eligibility verification.
  2. Events 05- 07 are edited through the IEP verification.

Eligibility Verification

  1. Click on the blue “edit” link next to the 04 or 08 event to edit or verify eligibility dates. If you need to add or change a date, this section will allow you to do that.
  2. You will need to respond to a series of questions related to the eligibility date you are reporting. The last initial eligibility dated reported, either to Student Record or within GOIEP will prepopulate. Options unavailable will be grayed out.
  3. If no date is showing or if you need to change the date showing, enter the new date in the “Initial Override Date” area after responding to the question about accepting an eligibility that has never been reported in Georgia.

For the current scenario, there is prior reported GA eligibility history that is prepopulated.  

       

In this current scenario, since there is a prepopulated initial eligibility date from history along with a prepopulated Reevaluation date from history, if you indicate you do not have a copy of the initial eligibility, a statement will appear indicating it is being accepted regardless.  

For this scenario, if the system has a copy of initial eligibility, you will select YES and would not enter a new date in the Initial Eligibility Override Date text box.

  1. Respond to the question about the most recent eligibility. In the current scenario, since there is a prepopulated Reevaluation date from history, this question defaulted to NO.

  1. In the Event 8 area- allowable options are then available.

In this scenario you have a 08 event that had been reported to SR but since the previous system reported a more recent one, we will choose the radio button indicating the date is not showing.

  1. Answer the question for if we have a copy of the eligibility report.

In this scenario, you never received it from the prior district so we will choose NO.

  1. Two options to explain appear:
  • The first radio button tells you to wait to obtain or use an earlier date.
  • The second option indicates you have some information even if you don’t have the report. This will allow the district to create a temporary transfer reevaluation data review.

For the current scenario, since you have some information and don't anticipate receiving anything additional, you would choose the second radio button and begin the temporary transfer redetermination process.

  1. Choose the eligibility category(ies) based upon the received records or verbal information provided.

  1. The pending evaluation question will be preselected.

  1. After submitting the eligibility information, the prior date is still present because you do not have a report and therefore could not override with a date.

Since there is already an IEP (initial and/or annual review) you MUST choose to edit that date to verify the IEP information. If you do not verify the IEP information the correct link for IEP will not show on the timelines page.


In the scenario, you have a new IEP that you received so you will click on the Edit link next to the 07 IEP Annual Review Date.

IEP and initial placement verification

  1. Click on the blue “edit” link next to the 07 event.This will open the IEP event verification.  

You will need to respond to a series of questions related to the IEP date you are reporting.

 In the current scenario, the initial eligibility information is present from history.You will answer all questions related to initial eligibility without changing dates.You have received a new IEP so in the Event 07 area you will select "This IEP is not showing" and enter the date of the IEP we have received with a reason.


 

  1. Respond to the question about the most recent IEP and if you have an electronic or paper copy of the IEP.
    1. Document the date services began under this IEP in GEORGIA (perhaps in a prior GA system).  
    2. Document the ending date for the IEP. A system admin may want to set an earlier end date to avoid having a MOCK IEP in place for FTE reporting.
    3. Select the primary disability.

If you select that you DO NOT have either an electronic or paper copy of the IEP, an Annual Review will be due immediately.

After submitting the IEP verification for the scenario, the annual review is showing current; previous eligibility date is showing.

Submitting the Timelines Override

Once any dates needed have been added AND both eligibility and IEP have been verified, a Submit option will appear.


Completing the Temporary Transfer Process

To establish continued GA eligibility, the system would need to click the start reevaluation data review link to schedule a temporary transfer reevaluation data review meeting.



  1. On the temporary transfer reevaluation data review, the only option available to select is for additional assessment to determine eligibility.
  2. Once the temporary transfer meeting is completed:
    • Eligibility will expire in 60 days
    • Initial GA eligibility was already established as reflected in SR history. This eligibility will be a Reevaluation and will be reported in SR as event 08.  It will not count in the Timelines Report.
    • The Start Reevaluation Eligibility link will be available.
    • The temporary transfer reevaluation data review date will show as Reevaluation date on the Timelines page
