1 - Meeting Name: Determined by the link which is selected to create the meeting notice.

2 - Meeting Date Time: When the notice is created this defaults to current date and time and is editable by selecting Modify Meeting DateTime link.This meeting date will be automatically populated on the printed document for all forms associated with this meeting notice. If the meeting notice is rescheduled the date on all associated forms will be updated automatically. Parent should be provided reasonable notice in advance of meeting. Meeting can not be scheduled between 7pm and 7am.


 3- Meeting Location: When the notice is created the location defaults to the student's school of enrollment and is editable by selecting Modify Meeting location link.The list of available meeting locations is prepopulated with all facilities in your school district and there is an "other" option available to enter a location that is not listed.


 4 - Meeting Purpose: When the notice is created the primary meeting purpose is automatically included based on link selected. Additional purposes may also be added using Modify Meeting Purpose link. Please refer to the table below for each meeting name and purpose. Transition plan is autopopulated if required by age or grade of student.

Note: Any form associated with a pre-checked purpose will be available simultaneously when the link is selected to create the meeting notice. If Initial IEP or Annual Review is selected as an additional purpose (not pre-checked), the IEP form will be available when the meeting notice is submitted. 


Caution: Once a form is available it can only be closed by a system administrator if the meeting did not occur.


5 - Parental Rights: When the notice is created no method of providing parental rights is preselected. This is editable by selecting Modify Parental Rights link.

 

Following options are available:

Parents will be provided a copy of Parental Rights with this meeting notice 

Parents will be provided a copy of Parental Rights at the scheduled meeting

Note:   If Manifestation is included as an additional purpose for the meeting, Parents rights MUST be provided again at that time.


6 - Meeting Status: Status changes within the application to show the stage of Meeting after each step is completed. 

    • In Development: Meeting notice has been created, but never submitted
    • Sent to Parent: Original meeting notice has been submitted, print button is available
    • Schedule accepted: Parent response to meeting notice has been recorded and meeting will proceed as scheduled. Meeting can be rescheduled as many times as needed
    • Rescheduled: Response to meeting notice has been recorded. Meeting notice is editable to reschedule or change details. (note: when rescheduling if "re-open to change details" is selected, the date is not editable. If the date needs to be changed, select "reschedule" and all information will be editable)
    • Completed: All forms associated with the meeting notice have been finalized


7 - Attendee: When the notice is created all team members (Team Member's tab) are automatically included in the list of members to be invited to the meeting. The grid will contain Name of attendee, IEP Team Title and Meeting Role for that attendee. IEP Team Title is populated from IEP Team Title previously selected on the team member tab. 


Roles: The purpose of the meeting role column is to ensure that all required team members have been invited to the IEP meeting. When the meeting notice is submitted GO-IEP will verify that someone has been invited to fulfill each role. 

Required team members include:

    1. Parent
    2. Student (if transition plan is discussed)
    3. Special Ed Teacher (at least one)
    4. LEA Rep or Designee (at least one)
    5. School Psychologist or someone who can interpret the results of the educational assessment
    6. General Ed teacher (at least one)


Some meeting roles are automatically generated:

IEP Team Title of Student = meeting role of Student

IEP Team Title of Parent = meeting role of Parent

IEP  Team Title of Case  Manager= meeting role Special Education Teacher


All other meeting roles must be assigned using edit option. A Team member may have multiple roles.


Use delete button to remove any team member from this list (removing a team member here will not remove the team member from team member tab).


If after initiating the meeting notice, additional team members need to be added, they must first be added to the Team Members tab.  Any team member not already included as an attendee will then be available by clicking the Add Attendee button.  After selecting the team member to add, a role for the meeting can then be assigned.


If the meeting notice is already submitted, use the reschedule option and then choose to open the meeting notice to make corrections due to errors in the meeting notice (not date and time). Add any additional team members to the Team Member tab. Once you do that, the add attendee button can be used and the additional team members not already on the meeting notice will appear in the drop down box to be selected. 


8 - Submit: Submitting a meeting notice begins the validation process. An error message will be displayed if any required section is not appropriately completed. If the meeting notice passes validation it still may generate a warning notice and can be submitted with a warning, if appropriate. When the notice is successfully submitted, the meeting notice is saved as a pdf which is available for print. There is a print button at top right corner to print the latest meeting notice.  (See picture above)


9 - Excusal: The purpose of the Excusal form is to obtain parental consent for excusing a required team member such as a General Ed Teacher. A meeting which includes Eligibility or Reevaluation Data Review as a purpose will not have option of adding an excusal form. The Excusal process is only available for IEP meetings. Using the add Excusal link, select a role which you want to request parental permission to excuse and select justification for the excusing the committee member. You may complete more than one excusal form for an IEP meeting. The Excusal form will print with the meeting notice. A grid will be displayed to show team members and excusal reasons and also an option to delete. Please see the next section for more information on excusals.


10 - Meeting Notice Count: List of meeting notices created for this meeting. Meeting notices can also be printed from this list


11 -  Reschedule Meeting Response Count: Displays the list of all responses to meeting notices. Georgia Regulations require a system to maintain this documentation, but do not require this information to be printed with IEP.


12- Close Meeting: Close Meeting is only visible to system administrators and is located at the bottom of the Meetings Details in an open meeting notice. You must first click on the + sign on the right to open the drop down box. Then you must choose one of the options within the open meeting notices for meetings that will be Closed- Never Happened or were Closed- Created in Error.



13 - Responses: Once a meeting notice has been submitted, a Response/Reschedule button appears in the top right corner. The purpose of this page is to capture a history of responses to the meeting notice. Select the appropriate option and provide additional information as needed. (Caution: "Reopen To Change Meeting Information" will allow you to change any meeting details EXCEPT the meeting date and time.) A meeting notice may be rescheduled multiple times using this feature. Forms associated with this meeting notice cannot be finalized until schedule has been accepted.
