The student and school information screen contains demographic information for the student and includes:

  • EL Status
  • Disability Area
  • Environment Code (for federal reporting)
  • Native Language
  • Public Enrollment

The following areas are editable on the screen:

  • Update Grade-Admins ONLY can update one grade at a time.
  • Student address
  • Additional Information
  • EL Status- System admins ONLY can change this area. Please be sure to verify whether or not the student is EL before making this change. The EL status in GO is based on what was reported in SR the prior year. Sometimes, this will not be correct for a variety of reasons including incorrect reporting. If a student was in PK the prior year, PK kids are not tested or identified as EL and would have been correctly reported as NOT EL but this might change during K. If the student was not even reported in SR the prior year because he was not enrolled in your district, then he would show in GO as NOT EL but this might change after enrolling in your district and being evaluated. EL status in GO is updated every July after Student Records is submitted based on what was reported in SR that June. A student’s EL status might change anytime during a school year from NO to YES. The EL status only changes from YES to NO at the end of the year when the students are tested again.

The option to change EL status from Yes to No on the profile page will only be allowable for system admins. Remember to SAVE after making a change.

  • Environment Code- System Admins can designate the right to edit to school admin and/or special education teachers on the System admin page Default area. Those rights can be changed at any time. The student's age as of FTE count day will display and the drop-down list will populate with the appropriate environment codes. Click the drop-down list and choose the appropriate code. Make sure to save by clicking the Update Environment Code button.  The code selected will import into the SIS when the FTE extract from GO-IEP is imported

Environment Calculators are available on the GaDOE Data Collections website at: http://www.gadoe.org/Technology-Services/Data-Collections/Pages/FY2019-FTE-Resources.aspx

  • FTE Program Code- ONLY System Admins can change this area.

The program code is the code which needs to be entered in your SIS to identify the segment code to be used for any special education segment in the student schedule. For the FTE report in GO, there is a column for the PROGRAM CODE. For most students, the program code is the same code as the primary disability code and no further information is needed.

However, SDD, TBI, and Autism do not have a unique program code. Therefore, for students with the primary disability of SDD, TBI, or Autism, a screen will show for system administrators here on the profile page. System Administrators will need to select the program code which best matches the services the student is receiving. This program code will pull into the FTE report.

System Administrators can filter the Excel of the FTE report for these three primary disabilities and then look at the column for the program code. Any student with a null program code will need to have this completed prior to each FTE Count.

Nonpublicly Enrolled Students

Sometimes districts need to exclude students from the Student Records Extract.

  1. If you answer “NO” to the question “is the student currently enrolled in your district?” A draft IEP for the student will be modified to be an Individual Service Plan (ISP). The “NO” answer will also allow you to answer the next question. This question is only editable by system admins.

  B. “Was the student publicly enrolled in your district at any time during the current school year?” If not, this student will be

excluded from the Student Records Report. This question is only editable by system admins.

  C. For any student that you are getting an SR record indicating that there is no matching enrollment record for the student who has events reported, first be sure about whether enrollment needs to be added for this student. If the student is a Pre-K student and is being served under an IEP, even if being served at home or in a local daycare this student should be enrolled.

  D. If the student is appropriately NOT REPORTED as enrolled, change the response to this question to NO and the student will be excluded from your next extract.

Environment Code

SPECIAL EDUCATION ENVIRONMENT indicates the type of educational setting in which the student receives special education services. Aggregate SPECIAL EDUCATION ENVIRONMENT information is used by GADOE to report to the federal government as required by the Individuals with Disabilities Education Act (IDEA) (U.S.C. Chapter 33, Section 1418 (a)). SPECIAL EDUCATION ENVIRONMENT is not used to compute any state level QBE FTE earnings and should not be confused with the resource and self-contained delivery models associated with state level QBE FTE funding.

SPECIAL EDUCATION ENVIRONMENT codes and definitions are listed below. Please note that there are different environment definitions for students whose DATE OF BIRTH indicates an age of 6 or above as of October Count day, and for students whose DATE OF BIRTH indicates an age of 5 or under as of October Count day. For information on calculating time in an environment, see the Guidelines for Reporting Special Education Environments.

Note: Children who are 5 years old on the count day in October and enrolled in Kindergarten must be reported with a School-age Environment (1-10)
