To assign a student to a case manager inside GO-IEP, admins must use the Student Search feature. 


1. Type the student's name and/or GTID into the Personal Information section and click the "Lookup Student" link. Partial name is often sufficient for search.




A list of students will be displayed at the bottom of the page matching the search criteria. Student names with an icon that looks like a blue plus and a person have not been assigned to a case manager.  When changing case managers an icon with two people will show next to the student name. 



   


   



  2. Click the icon to assign/change a case manager to a student. 





A list of available case managers will appear. This list will be limited to case managers who have rights in the school that owns the GTID based on their most recent GTID claim. To adjust the list, the school filter can be changed. System admins will have the option to choose ALL Schools.  Lookup Case Manager will allow the list to be filtered to look for specific users. GNETS users will not appear in the case manager list unless a student has GNETS marked Yes on the Profile page.


                                                                                                                                                     



3. Click the Assign button next to the name of the case manager that they want to select.   




4. A Green message will appear when the case manager has been successfully assigned and the student's name becomes a link to enter his/her electronic file. 




If a student has not yet enrolled in your district and does not have a GTID number( such as a BCW referral), the SIS person for the district can obtain this. They should be given the following information on the student:


Full name

DOB

Address

School (use the one based on the student address)

Gender

Ethnicity

Social Security number


After claiming the GTID, enrollment should not be reported for students in the community who are in the referral process.
